Either way you are simply logging against a riders name that they have £x to spend with you over time.</p><p>&nbsp;</p><p>&nbsp;</p><h6>Adding a credit to a client:</h6><ol><li>Click on the view client link in the left hand menu bar.</li><li>Scroll down or search for the client in question.</li><li>To the right of the customers name is a column called Vouchers/Credit. In here is a running total and plus symbol. Click it.</li><li>On the first page you are taken to is a top section and bottom section. We are going to deal with the top field only asking for a new credit<br />balance to be added. Put the amount your client is paying in here.</li><li>After submitting that balance you are taken to page confirming the new total in the bank for that client. </li><ul><li>NOTE: The bullet point selector referring to New payment or Correction is simply for reference on the reports and makes no difference to the outcome. </li><li>FREE lesson an discounted is also for reference only. </li><li>Comments have to be added so you know what the client was buying into.</li></ul><li>Once you have completed those fields click the green button.</li><li>You are now taken to a receipt page you can print and hand to your customer, email the receipt to the customer or go back to your lesson<br /> page.</p><p> <strong>WARNING</strong> – at this stage it also shows you exactly what has been bought, the new running total etc. so make sure you read the receipt out to yourself to make sure it has all been entered correctly. </li></ol><p>&nbsp;</p><h6>Using the credit:</h6><p>Using credit is very easy as it does all the calculations for you.</p><ol><li>When you add the given rider to a lesson it is now going to show them as having a credit level of &pound;x.xx</li><li>To<br />knock their credit down simply set the payment type as <strong>*credit used*</strong> .&nbsp; Note you can also see next to the current credit is the scheme notes you entered.&nbsp;</p><p>NOTE: if using *credit used* payment type, there must be a money value in the amount box. Do not leave it blank. </li></ol><p>&nbsp;</p><h6>Correcting a wrongly reduced balance&nbsp;</h6><p>Every now and then we all make mistakes so accidentally using the wrong amount of a clients credit can happen. Luckily we have a simple feature that deals with this.</p><p>&nbsp;</p><ol><li>Goto the lesson and you will see the client listed on that lesson. &nbsp; To the right of the riders name is the payment type picker that is set to **Credit Used** and then the amount field. &nbsp; Usually you would see a Confirm Payment button but in its place is a button saying Correct Credit.</li><li>Click on the button and a popup window appears.&nbsp;</li><li>In<br />this window it shows you the current credit balance for the client, the amount you deducted for their lesson and what the new credit balance will be once you refund them.</li><li>If you click the Update button the lesson balance you deducted, their credit level and payment type is all reset so you can start again.</li></ol><p>&nbsp;</p><p>&nbsp;</p><h3>Advanced ways of utilising pre-payments/credits</h3><p>Taking money up front isn't just about taking your customers money. You need to incentivise. Some of the options people try include:</p><p>&nbsp;</p><p>&nbsp; </p><h6>Buy 10 get 1 free.</h6><p>A simple method. Pay a lump sum and get a full lesson for free.&nbsp; One lesson is a lot money to give away so think about this one.</p><p>I like this one but I hate how flexible yards are with their customers in the hope to keep them. There really is no need so let's consider how this package could be applied.</p><ol><li>Client pays &pound;200 up front</li><li>The idea is this is for 10 lessons of a certain type&nbsp;</li><li>At the point of paying you offer them the FREE lesson. &nbsp; The rules for the FREEBIE are simple – you have to book it right now, it cannot be<br />transferred.</li></ol><div>By working it like this you reduce the admin involved in handling the incentive. &nbsp; You maintain the control over your client and have still been able to offer a deal.</div><h3>&nbsp;</h3><h6>Paying up front</h6><p>When you take a booking for a single lesson next weekend you really should be taking payment in advance. This helps to reduce cancellations and loss of revenue.</p><p>The process would be most effective as follows to save on admin time:</p><ol><li>Take the call and check the diary for the booking,</li><li>Once agreed on a time, book them in and ask to take full payment.</li><li>Once the credit card is processed, goto the clients name from the lesson screen you are currently in and then add a new credit for that amount.</li><li>On the day of the lesson yo uwait for the client to arrive before deducting the credit. This helps to confirm their attendance on the yard so has a double benefit.</li></ol><p>&nbsp;</p><p>&nbsp;</p><h6>Credit for a specific lesson type only</h6><p>This is another useful incentive. It utilises the Special scheme notes that lets you say what the credit can be used for.</p><p>Let's say one of your customers comes for lessons and hacks out.&nbsp; Why not offer them a discount to be used on Hacks only. So they bank &pound;200 and that is for use on Hacks only.</p><p>&nbsp;</p><p>&nbsp;</p><p>All of these options work really well but you need to decide which one is more beneficial to you as a business.
